Organizing Reports

Keep your reports organized with folders, meaningful names, and version history.

Saving Reports

Save reports to reuse later:

  1. Click Save or Save As
  2. Enter a descriptive report name
  3. Optionally select a folder
  4. Click Save

Naming Tips

Good names describe what the report shows:

  • "Q4 2024 Major Donors ($1000+)"
  • "Monthly Recurring Revenue - Active"
  • "Gala 2024 Attendees"

Avoid generic names like "Report 1" or "Test Report".

What Gets Saved

When you save a report, the following is preserved:

  • Data source selection
  • All filter conditions
  • Column selections and order
  • Aggregation settings

Folders

Organize reports into folders for easy access.

Creating a Folder

  1. Go to Data > Reports
  2. Click New Folder
  3. Enter a folder name
  4. Click Create

Organize by:

Moving Reports

To move a report to a different folder:

  1. Open the report
  2. Click Settings tab
  3. Select the new folder
  4. Save the report

Report Versions

Every time you save changes, a new version is created automatically.

Viewing Version History

  1. Open the report
  2. Click the Versions tab
  3. See all previous versions with timestamps

Version Features

  • Compare changes - See what changed between versions
  • Restore previous - Roll back to an earlier version if needed
  • Audit trail - Track who made changes and when

Sharing Reports

Saved reports are visible to all admins in your organization.

Best Practices

  1. Use clear names - Others should understand the report's purpose
  2. Organize in folders - Make reports easy to find
  3. Document complex reports - Add notes in the Settings tab if needed

Deleting Reports

To delete a report:

  1. Open the report
  2. Click the dropdown menu (next to Save)
  3. Select Delete
  4. Confirm deletion

Deleted reports cannot be recovered.
