Notes

Log a call, meeting, mailing or anything else that happened, on one record or on many contacts at once, and find it later on the record's Activity tab.

What a note is

A note is a written record of something that happened with a contact, an organization or a household. It has a date, which is the day it happened. It can have a type, such as Phone call or Meeting. Your organization keeps its own list of note types — see Note Settings.

A note's date can be different from the day it was typed. A call from last Tuesday that you log today is dated last Tuesday.

Logging a note

  1. Open the contact, organization or household and go to its Notes tab.
  2. Click Create Note.
  3. Pick a Type (only shown once your organization has note types).
  4. Set the Date the call or meeting happened. It defaults to today; you can't pick a day after tomorrow.
  5. Write the note and click Save.

If you leave the date on today, the note is stamped with the moment you saved it. Any other day is saved as that day.

To change a note, open it from the Notes tab and click Edit. Changing the date moves the note to the new day on the Activity tab. Editing only the text leaves the date as it was.

Where notes show

  • Notes tab — every note on the record, newest date first, with its type.
  • Activity tab — the note appears under the day it happened, with its type and the start of the text. Note rows don't show a time of day.

Private notes (available with advanced permissions) are shown only to the person who wrote them and the people they name, on the Notes tab. They don't appear on the Activity tab. An @mention in a private note notifies the mentioned person only if the note is shared with them; it doesn't share the note.

Filtering the Activity tab by note type

  1. On the record's Activity tab, tick Notes under Activity Type.
  2. Your organization's note types appear under it. Tick the ones you want.

Only notes of the ticked types are shown. Leave every type unticked to see all notes. Clear All resets the filter.

Logging a note on many contacts

Use this when one thing happened with many people — a mailing went out, or a group attended a meeting.

  1. On the Contacts list, select the contacts, or select all that match your filters.
  2. Click Bulk Actions and open the Log a Note tab.
  3. Pick a type and date, write the note, and click Log Note.

The notes are written in the background — follow progress under Background Jobs, where the job is listed as Bulk Note. Each selected contact gets its own copy of the note, written by you and visible to your team. A bulk note doesn't @mention anyone, doesn't send notifications, and doesn't change the contacts' Last activity.

Imported notes

Notes brought in from another system (for example Raiser's Edge actions) keep their original date and type and show as Imported. See Importing Notes.

Notes from the Claude connector

If your organization uses the Claude connector, Claude can log a note on a contact, organization or household with its add_note tool. The note is written by the person whose connector it is, the same as a note typed in CauseVox.
