Creating Donations
Use the Create button on the Donations page to add offline donations. This guide explains every section and field on the form.
Campaign & Context
Link the donation to a campaign and optionally to a donation form and/or site.
- Campaign — determines the currency for the donation. Once set, the currency selector is locked to the campaign's currency.
- Donation Form (optional) — selecting a donation form loads any form-level custom fields.
- Site / Project / Team / Network (optional) — associate the donation with a specific site or peer-to-peer page for attribution tracking.
Contact/Organization
Link the donation to an existing contact or CRM organization.
- Contact Selector — search by name or email to find an existing contact record.
- Organization Selector — toggle to link to a CRM organization instead of a contact.
- Auto-Creation — if no contact or organization is linked, a new contact record is automatically created from the donor details (name, email, address) provided on the form.
Donation Details
The fundraising side of the record — what the donor did and what appears publicly on sites, donor walls, and receipts.
- Display Name (required) — the name shown publicly on the donation. Auto-populated when a contact is selected.
- Amount (required) — the donation amount.
- Currency (required) — locked to the campaign's currency when a campaign is selected.
- Created Date (required) — when the donation occurred. Defaults to the current date/time.
- Donation Tags — categorize the donation with resource-scope tags.
- Fund Designation — the donor's intent for how the money should be used (e.g. "this donation is for Fund X"). Selecting a fund reveals a Fund Amount field.
- Tribute — mark the donation as "in honor of" or "in memory of" someone. Selecting a tribute type reveals fields for the Honoree Name and an optional contact link.
Custom Fields
These are the extra fields your organization has set up for donations (managed in Revenue Settings > Donation Fields).
- When you select a donation form above, this section is automatically filtered to show only the fields that belong to that form. You'll see a note like "Filtered by form (3 hidden)" with a Show all link in case you need access to the rest.
- When you click Show all, every custom field is displayed. You can click Show form fields to go back to the filtered view.
- When no donation form is selected, all custom fields are shown, with a note suggesting you select a form to narrow things down.
If your organization hasn't created any donation custom fields, this section will say "No custom fields."
Donor Details
Personal information attached to the donation record itself, not to the contact record. These fields are pre-filled when a contact is selected.
- First Name, Last Name, Email — the donor's personal details. As you type, the system auto-suggests matching contacts.
- Address — street address, city, state, zip, and country.
Site Options
Controls how the donation appears on public-facing sites.
- Anonymous — when enabled, reveals options to hide the donor's name, amount, or both on public site displays.
- Comment — an optional public comment from the donor.
Match Funds
Apply match funds from the selected site or its network to the donation.
- Requires a site — this section shows "Select a site to view available matches" until a site is selected above.
- Match Fund — a dropdown listing available match funds from the selected site and its network. Each option shows the fund label, sponsor, and remaining balance.
- Amount — the amount to apply from the selected match fund.
- Multiple matches — click Add Match to apply more than one match fund. Each match fund can only be selected once.
- On save, match amounts are deducted from the match fund's remaining balance.
Revenue Details
The finance side of the record — how CauseVox tracks the money. This is what appears in revenue reports and what your accountant uses when posting to your books.
- Payment Method — how the payment was made (check, cash, bank transfer, etc.).
- Status — the revenue status (e.g. completed, pending).
- Payment Channel — how the payment was received (online, offline, etc.).
- Payment Reference — shown only for manual payment methods. The label adapts to the method (e.g. "Check Number" for check payments).
- Payment Notes — free-text notes about the payment.
- Revenue Splits — allocate the donation amount across one or more funds. Each split has a Fund and Amount. The running total is shown against the donation amount.
- Revenue Credits — assign credit for the donation to one or more contacts. Each credit has a Contact, Amount, Type (hard/soft), and Category.
- Revenue Tags — categorize the revenue record with revenue-scope tags.
- Revenue Custom Fields — extra fields your organization has set up for revenue records (managed in Revenue Settings > Revenue Fields). Unlike donation custom fields, these always show all fields regardless of which form is selected.
Donation Details vs Revenue Details
Donation Details capture the fundraising event — what the donor did, what appears publicly on sites and receipts. Revenue Details capture the finance side — how CauseVox tracks the money. Normally these would live in separate systems (fundraising platform vs CRM), but CauseVox lets you enter both at once.
Fund Designation vs Revenue Splits
Fund designations live on resources (forms, sites) and can be donor-facing — the donor selects a fund when giving. Revenue splits live on the revenue record and are fund allocations ("$50 to Fund X, $30 to Fund Y"). They're related but can differ — for example, an organization might split a single fund-designated donation across multiple internal funds.
