Segments
Save the filters you build most often, reopen them from the sidebar of any list, and reuse them for bulk edits, exports, and messaging.
Understanding Segments
A segment is a saved set of filter conditions. It stores the question, not the answer — no list of records is kept inside it.
Because the conditions are what's saved, a segment re-runs against your current data every time you open it. A "gave in the last 90 days" segment holds different people this month than it did last month, with no edit from you.
Segments and tags
A tag is a label someone puts on a record by hand, and it stays there until someone removes it. See Contacts for tagging.
A segment matches records by rule, and writes nothing to the records it matches.
Reach for a tag when the grouping is a human judgment call, like "board prospect." Reach for a segment when the grouping can be described from the data, like "gave over $500 in 2025."
Where segments are available
Segments appear in the left sidebar of these lists:
- CRM — Contacts, Households, Organizations
- Manage — Donations, Personal Pages, Team Pages, Organization Pages, Ticket Orders, Tickets, Attendees, Registrations
Each segment belongs to one record type. That type is set when you save the segment and can't be changed afterward — to move a set of filters to a different record type, rebuild and save it there.
Segments require the Pro plan.
Building a segment
- Open a list and click Add filter above the table.
- Pick a field, then choose an operator and a value.
- Keep adding filters. Results update automatically as you build — there's no Apply button.
- Click Save as Segment, give it a name and an optional description, and save.
The new segment appears in the sidebar under Segments, and the list switches to viewing it.
Combining filters
Filters render as pills. The small and / or word between two pills is a button — click it to flip how those two filters combine.
Filters can be arranged in more than one group. The operator between groups is its own button, so you can express things like (gave in 2025 or gave in 2024) and has an email address.
Filtering on related records
You aren't limited to fields on the record type you're viewing. From the Contacts list, you can filter on fields of a contact's donations, tickets, or registrations, and the segment resolves back to the matching contacts.
Two extra operators cover presence rather than values:
- Has any — the record has at least one related record of that type
- Does not have any — the record has none
"Contacts who do not have any donations" is a Does-not-have-any filter, not a field comparison.
WARNING
Segment filters are ignored while a search term is active. Searching a list falls back to plain search across all records, and the panel shows a banner saying so. Clear the search box to get your filters back.
Presets
Some Manage lists ship with built-in filter presets — for example Succeeded, Refunded, and Processing on Donations. A preset behaves like a segment you can't edit or delete. Adjust a preset's filters and click Save as Segment to keep your version.
Working with a saved segment
Click a segment in the sidebar to load it. The list re-filters and the URL picks up a segment_id, so the view is linkable and survives a refresh.
While a segment is loaded you can change its filters freely. The save bar then offers two paths:
- Update Segment — overwrite the saved segment with the filters currently on screen
- Save as New — keep the original untouched and save your version as a separate segment
Until you pick one, the segment counts as having unsaved changes, and the Add to an Audience and Create a Broadcast actions stay disabled.
Bulk edits and exports
A loaded segment scopes the toolbar's bulk-edit and export actions. Both resolve the segment to a fixed list of records at the moment you press the button, so a record that starts matching a minute later isn't included in that run.
Campaign-scoped segments
Segments saved from a Manage list while a campaign filter is active belong to that campaign, and only appear when that campaign is selected. CRM segments — Contacts, Households, Organizations — are never campaign-scoped and always appear for the whole organization.
Using a segment for messaging
These three options work with contact segments only. A donation or ticket segment matches donations or tickets, not people, so it can't be turned into a recipient list.
Add to an Audience
Open the … menu on the active segment and choose Add to an Audience. Pick an existing audience or create one, and CauseVox copies everyone the segment currently matches into it.
This is a one-time copy that runs in the background — the count on the audience fills in when the job finishes. Contacts already in the audience are skipped, and contacts with no reachable email are left out.
List from a segment
When creating an audience, choose List from a segment and pick a source segment plus a refresh frequency of every 15 minutes, hourly, or daily. Newly matching contacts are added on that schedule.
WARNING
A segment-backed audience only ever adds. A contact who stops matching the segment stays in the audience until you remove them by hand.
Send To Segments on a broadcast
A broadcast can take segments directly in its Send To Segments field. These resolve at send time, so the broadcast reaches whoever matches when it actually goes out — not who matched when you built it.
Deleting a segment
Open the … menu on the active segment, choose Delete, and type DELETE to confirm. This removes the saved conditions only; no contacts, donations, or other records are touched.
WARNING
Deleting a segment that a segment-backed audience points at does not delete the audience or its members, but that audience quietly stops refreshing. Repoint it at another segment, or rebuild it, if you still want it kept up to date.
